CASE MANAGEMENT MODULES - CLIENT/SERVER PLATFORM

CASE MANAGER MODULE:
The Case Manager Module is primarily comprised of 3 submodules:

Electronic Work Sheet
The Electronic Work Sheet (EWS) summarizes all of the information the Case Manager needs by case category or by individual case. Total integration with all other functions of the Case Management System automatically updates the EWS in real time to inform the Case Manager of all actions taken or to be taken for each case and to avoid redundant data entry. The EWS provide "ticklers" to the case workers of actions or follow-ups to be done, and it provides reports listing actions to be taken for open cases or log of all activities accomplished for closed cases. The module also includes a case inquiry function, evidence receipt and routing, bar code recognition capabilities, and a statistics function with on-line graphs, charts, etc.

Letter Writing Module
An integral part of a case management system is the request, receipt, distribution, and use of information/evidence. This information/evidence is requested to evaluate a claimant's request. Our Case Management System's Letter Writing Module handles the creation and dissemination of requests and the electronic capture and disposition of evidence between the provider of evidence and the caseworkers. Letters can be created from user-definable templates that interface with all files in the system. As an example, when letters are written and sent, the EWS is updated to reflect that fact and a follow-up action is identified if appropriate. Fax and imaging technology allow for electronic distribution of requests and evidence eliminating the time delays inherent in delivery services and the possibility for misfiling of physical records.

Closure Module
The Closure Module automates the functions associated with closing the case, which includes producing the required forms and generating letters to claimants and their representatives. As in the Letter Writing Module, closure documents can be created from user-definable templates that interface with all files in the system and updates the EWS. The Closure Module also includes a forms-fill application that allows for data entry on specific forms that must be filled out on each case. Data can be selected from drop down menus when specific answers are required or the form can be filled out with free form text.


CLERICAL MODULE - FISCAL
This module provides comprehensive functionality from the time case is scheduled through payment authorization and fiscal reporting. It provides the user with the capability to automatically schedule a hearing, and incorporates automated follow-up functions, reminder letters, budget reports, and performance reports. The FAX Out feature offers the capability of bundling images of to automatically fax along with the request to provider of information.

CLERICAL MODULE - RECEIPT
This module incorporates the automatic case assignment processing. As cases are initially received and entered, they are assigned through the system to caseworkers based on case type, case level, examiner daily and weekly maximums, and case priority. This module provides for tracking each case from receipt through disposition, storing case history on-line and producing reports and statistical analysis on the case information in the system.

UNIT SUPERVISOR MODULE
The Unit Supervisor module includes the case reassignment functionality and both in-line and end-of-line quality assurance processing. Cases are analyzed for both substantive and technical errors. If errors are found, the cases are denied closure and are reassigned to another Case Manager. Management reporting provides accuracy and productivity information.

HEARINGS MODULE
The Hearings Module provides functions for scheduling hearings based on available dates and times for each hearing site. It prevents the double booking of dates and times for hearings. Reports are provided that list cases filed with no hearing scheduled yet, pending hearings scheduled by hearing site, and hearings metrics for case managers. The Docket Sheet will be updated automatically when hearings are scheduled as the EWS is in the ILA CMS.

SYSTEM FUNCTIONS MODULE
The System Functions Module provides reports on case statistics for the entire state agency.
